Clearance process
The time it takes to collect all the appropriate documentation for the clearance process varies from person to person. It may also take more time if you must acquire any mandatory vaccinations/tests. We recommend getting started as soon as possible to ensure you are cleared before your rotation begins.
We recommend completing your compliance checklist no later than one week prior to the start of your Prisma Health student experience. This will provide enough time for everything to be ready for your arrival.
You cannot start your rotation if your checklist has not been cleared.
Good standing clearance is dependent upon your myClinicalExchange (mCE) checklist items (e.g., flu shot, Learning Hub modules, BLS, RN licensure) remaining in compliance. If any items expire during your rotation or before the start of your next rotation, they will need to be updated to remain compliant.
You will be notified via e-mail from myClinicalExchange (mCE) that all your clearance items have been approved and to log in to confirm.
Yes. You are now operating in a different role as a student learner and will need to complete the clearance process accordingly. However, we have made concessions to greatly reduce your responsibilities for clearance. Please review the process on our Prisma Health Employees in non-team member roles page.
myClinicalExchange (mCE)
myClinicalExchange is a student data management system that Prisma Health uses to centralize the clearance process. It helps you organize all your clearance requirements and helps us approve them quickly and easily.

Enter information in the “New Value” box rather than the “Comments” box. The “New Value” column is read by the system as a field completed. The comment column is not.
Make sure you hit the SUBMIT button rather than the SAVE button so that Student Affairs Administration or your school coordinator can review your checklist.
Make sure none of your immunization/requirements will be out of date before the start of your rotation.
If you are in a nursing rotation that requires EPIC training, you will not receive the green thumbs up until your clinical coordinator has entered the EPIC training date and trainer information into mCE on your behalf.
Learning Hub
Enter the renewal date (one year after the date of curriculum completion) in the “New Value” box.
You must also upload your Learning Hub transcript to the “Supporting Documents” section.
To access your Learning Hub transcript, go to the left side of your Learning Hub home screen and click the “View” link.
Once you are on your transcript page, click the “Active” button and change to “Completed.” Click the “Due Date” button and change to “Completion Date.”
Click the […] button at the top right and choose the option to “Print Transcript” and then “Print to PDF” to capture all of the completed modules.
Prisma Health Student Affairs Administration will register you for Learning Hub. If you have any issues relating to logging in or completing modules, please e-mail Student Affairs.
You have a limited number of chances to pass the tests associated with the modules. You can, however, view each test attempt to see which questions you missed prior to retaking the test. Do this by selecting the dropdown arrow beside “Retake.” Select “Review” and then “View Training Details.”

Yes. Prisma Health now uses Learning Hub instead of HealthSteam for compliance modules. Prisma Health does not accept Care Learning modules. You must complete the required Learning Hub modules before the start of your rotation and annually.
Learning Hub modules must be completed before the start of your rotation. You will not be cleared in myClinicalExchange until your modules are complete.
Immunizations
No, Prisma Health accepts TB blood tests (e.g., QuantiFERON Gold and T-spot).
Yes. However, there are a few exceptions:
- The only immunizations that can be religiously or medically exempted is flu.
- Hep B can be declined. However, you still must complete the vaccination waiver located in the “Documents” tab and upload it to your mCE compliance checklist.
If your rotation does not occur during flu season, then this field is not required in mCE.
The Tuberculin Skin Test (TST) is a screening method developed to evaluate an individual’s status for active Tuberculosis (TB) or Latent TB infection. The 2-Step TB PPD is recommended for initial skin testing of adults who will be periodically retested, such as healthcare workers.
A 2-step is defined as two TSTs completed within a reasonably short amount of time, typically within 1–4 weeks of each other; however, we can accept two TSTs done less than 11 months apart as a 2-step TST. This means that you would have an initial placement, return within 72 hours for the reading, and then you would return 7 days after the initial placement to have a second placement done followed by the reading within 72 hours.
You would need a 2-step if you have never had a PPD or if your last 2-step was over a year ago. You can have a 1-step if you have had a 2-step and have consistently updated your 1-step PPD annually.
- If you receive a positive blood or PPD screening, you are required to obtain a chest X-ray to determine if you have active Tuberculosis disease.
- Negative Chest X-ray: you will likely be offered optional treatment for latent Tuberculosis disease.
- If you accept the treatment plan, please email all related documentation to Student.Affairs@PrismaHealth.org.
- Student Affairs will reach out to confirm you completed the treatment, but no further action will be required for future rotations.
- If you decline treatment, you will need to email all TB documentation along with a TB Symptom Questionnaire to Student.Affairs@PrismaHealth.org.
- Symptom questionnaires will be required for subsequent rotations on an annual basis.
- If you accept the treatment plan, please email all related documentation to Student.Affairs@PrismaHealth.org.
- Positive Chest X-ray: you will be required to report to DHEC and undergo treatment for active Tuberculosis infection.
- Please email all related documentation to Student.Affairs@PrismaHealth.org. Prisma Health Employee Health will confirm all documentation and provide a date in which you are eligible to start your rotation.
- Student Affairs will reach out to confirm you completed the scheduled treatment, but no further action will be required for future rotations.
- Negative Chest X-ray: you will likely be offered optional treatment for latent Tuberculosis disease.
If you have received the vaccination in the past but do not have your documentation, you can get a titer to show the value of that vaccination in your blood. If you have never received the vaccination, you will need to get the vaccination. If you’re unsure, contact your healthcare provider.
Yes. Prisma Health does NOT accept “history of having chickenpox” for your varicella requirement. You MUST have two varicella vaccinations or a positive titer and upload documentation.
You can receive immunizations at:
- Your student health center at your home university/college
- Your doctor’s office
- CVS, Walgreens, and other family pharmacies/drug stores (flu shots and PPD/TB tests)

Photograph
The photo must follow the same requirements as a passport photo:
- Solid blue/grey/neutral background
- No sunglasses, hats, or headphones
- No facial jewelry and/or applied filters
- Full face, shoulders back, chin up directly toward the camera
- Natural facial expression
No. These often have a hologram and do not print clearly.
Yes, but only if you follow the same requirements as listed above for a passport photograph style.
All photos must be submitted in JPEG format, along with meeting the passport requirements. Photos submitted in any other format will be rejected.
Badges
Yes. You are in a new role as a student, and your badge needs to reflect this.
Your badge will be ready at least 24 hours after you receive a green thumbs-up in mCE and an e-mail confirming you have met all clearance requirements.
After clearances are complete
Please connect with your university program coordinator and/or Prisma Health supervisor to arrange your start date and find out professional expectations.
Please connect with your university program coordinator to find out who you should report to and who will be your supervisor (if unknown) during your rotation.
If your preceptor has agreed to extend your rotation, please ask them to e-mail Student.Affairs@PrismaHealth.org with your name, e-mail address, the new end date for your rotation as well as the additional number of hours you will complete. If it is possible for your rotation to be expanded, you will be notified via e-mail.
Prisma Health will provide all clinical students PPE necessary for their roles.
